Immigration and Onboarding Specialist
Position Summary:
The Immigration and Onboarding Specialist plays a critical role in supporting the seamless integration of new hires into the organization, with a particular focus on immigration processes and compliance. This role ensures that all immigration-related matters are handled efficiently and in accordance with applicable laws and regulations, while also delivering a high-quality onboarding experience that reflects the company’s values and culture.
Key Responsibilities:
Immigration Support
- Coordinate and manage employment-based immigration processes (e.g., H-1B, L-1, TN, O-1, PERM, green card) in partnership with legal counsel and external vendors
- Maintain accurate records of visa status, expiration dates, and renewal timelines
- Serve as a point of contact for employees and managers regarding immigration-related questions and concerns
- Ensure compliance with federal, state, and international immigration laws and regulations
- Prepare and submit required documentation for visa applications, extensions, and permanent residency processes
- Monitor changes in immigration policy and advise HR leadership on potential impacts
Onboarding Coordination
- Facilitate end-to-end onboarding for new hires, including pre-employment documentation, orientation scheduling, and systems access
- Collaborate with Talent Acquisition, IT, Payroll, and other departments to ensure a smooth onboarding experience
- Develop and maintain onboarding materials and resources to support employee integration
- Conduct onboarding sessions and serve as a primary point of contact for new employees during their first weeks
- Track onboarding metrics and continuously improve processes based on feedback and data
Compliance and Reporting
- Maintain confidential employee records related to immigration and onboarding
- Generate reports and dashboards to track immigration status, onboarding progress, and compliance metrics
- Support audits and internal reviews related to immigration and onboarding documentation
