Management of the Client Services Support Team

  • Ensure a high standard of performance/delivery when dealing with both internal and external clients and third party service providers
  • Ensure adherence to employment law, regulatory bodies and in-house policies & procedures
  • Work to actively improve the operational capabilities of the team
  • Ensure workload is fairly distributed to team members
  • Provide guidance and advice to help resolve problems pertaining to issues

General Administration

  • Ensure that all end to end processes are completed accurately and within the agreed deadlines and SLA's escalating any issues as appropriate with regards to all administrative processes (including the following):
  • Starters
  • Leavers
  • Transfers/secondments
  • Changes to terms and conditions
  • Extension of fixed term contracts
  • Absence (sickness/ shared parental/unpaid/jury service)
  • Maternity
  • Flexible benefits including private medical
  • Corporate induction administration
  • Appraisal administration
  • Training course administration including on-line courses and talent programmes
  • Professional memberships, registrations and subscriptions
  • Exam tracking and bonus payments
  • Maintenance of company wide organisation and supervision charts
  • Manage and assist with the day to day administration tasks that fall to the team in relation to the end to end processes detailed above

Team Processes and Procedures

  • Ensure team processes and procedures are documented to the appropriate standard and periodically reviewed and updated where necessary
  • Ensure that systems, processes and controls are relevant and in place to achieve high operational standards
  • Review any new HR policies or procedures from an operational perspective, ensuring that they will work within the admin team and wider HR department
  • Be pro-active in suggesting changes / improvements to departmental administration processes
  • Execute any changes to departmental paperwork or processes in a timely and professional manner
  • Close liaison with the Payroll Department to ensure that all remuneration changes are dealt with in an efficient and timely manner

Statistics Monitor and Reporting

  • Ensure that the team accurately prepare weekly, monthly and annual reports and statistics which includes the following:
    • Headcount
    • Labour turnover
    • Collation of statistical data for Boards and Sub Boards
    • TBS risk dashboard data
    • KPIs for Group Risk Board
    • Third party provider reports
    • Annual ICAEW return
    • Annual Public Indemnity renewal
  • Ensure that ad hoc requests for tender documents and financial publications from the business are produced and distributed as appropriate
  • Produce management information for the wider HR team as and when required

Remuneration Reviews

  • Ensure all document templates required for the annual and interim review are produced and approved
  • Assist the Associate Director for Reward with production of all papers for the various Appointments Committees and Remuneration Committees
  • Manage and assist with the production and distribution of all letters and where applicable promotion contracts/partner paperwork within the agreed company deadline

Meetings

  • Attend the monthly Finance / HR meeting collating all HR related paperwork in advance
  • Arrange and attend fortnightly meeting with HR Directors to discuss any operational issues
  • Arrange and attend fortnightly meeting with Group HR Director and Senior Management Team ensuring that the project
  • Ensure that regular Client Services Support Team meetings are held to discuss any relevant issues, workloads and upcoming projects
