Job Title: Temporary Conference and Concierge Guest Services Assistant

Working Hours:
Tuesday, Wednesday, Thursday
11am-8pm. (9 hrs.- minus hr. lunch = 8hrs.) Total 27 hrs.
Sunday – Remote (conference reservations and interoffice travel)
10am – 7pm (9 hrs. minus 1hr. lunch = 8hrs.) Total 8hrs.
4 day workweek totaling 35 hrs.
Flexibility to work Monday or Friday as needed. Monday being the priority.
*Train first 2 weeks 8am-4pm.
Hourly Rate: $26 – $32 per hour (depending on experience)

We are seeking a Temporary Conference and Concierge Guest Services Assistant to support the operational flow of the office by managing conference room logistics and providing personalized assistance to clients and staff.
Job Summary:
Are you passionate about delivering exceptional client service in a fast-paced, professional environment? We’re looking for a Conference Services Coordinator to be the welcoming face of our organization and the go-to expert for managing conference room logistics and client-facing support.
In this role, you’ll be the first point of contact for clients and visitors, ensuring every interaction is handled with warmth, professionalism, and precision. You’ll oversee meeting room reservations, coordinate special requests, and support concierge services-all while maintaining a high level of accuracy and responsiveness.
Key Responsibilities:
- Greet and assist clients and guests with a proactive, service-first approach.
- Manage conference room bookings and logistics using reservation software.
- Respond to client requests via phone and email, including after-hours meeting support.
- Coordinate with internal teams and vendors to ensure seamless meeting execution.
- Support concierge services such as gift arrangements and restaurant reservations.
- Monitor and update daily reports, ensuring all changes are communicated and executed.
- Troubleshoot scheduling conflicts and space limitations with professionalism and creativity.
- Collaborate with management to resolve client or partner concerns effectively.
Qualifications:
- 3+ years of experience in reception or conference services within a professional services or legal environment.
- Proficiency in conference room booking systems (e.g., Rendezvous, ESP2000).
- Strong Microsoft Office skills (Word, Excel, PowerPoint, Visio preferred).
- Exceptional communication, organizational, and multitasking abilities.
- Calm and composed under pressure, with a strong sense of urgency and attention to detail.
- Team-oriented, adaptable, and confident in handling high-level client interactions.
