Role

The Director HR Operations will be responsible for building and leading a scalable global HR Operations & Services team servicing approximately 6000 employees across the globe. The (global) HR Operations & Services Team includes the Global Shared Services front and back-office operations, our central HR digital /systems team and employee relations services.

An important HR pillar for the coming years, is to optimize our HR operations ‘machine’ and ensure a state-of-the-art employee experience and HR operational excellence on a global scale.

This leading role is key in the global HR transformation to develop a central HR Operations Service model to ensure continuity, efficiency, and scalability.

This leader will focus on building a culture of continuous improvement ensuring efficient and consistent employee experience and delivering operational excellence and simplification across our Global Shared Services. This role will lead multiple teams of HR professionals across countries to direct the execution of operational and transactional services. Managing the daily operation and providing excellent services to our employees. A state-of-the-art employee experience is crucial to our caring and people centric culture.

This leader will be a critical member of the HR Leadership team with shared accountability for establishing and prioritizing key elements of the people strategy that will enable business growth and organizational effectiveness.

The role reports to the Chief People Officer and will be a key member of HR Leadership team.

Key responsibilities

HR transformation:

  • Lead global HR transformation and day to day operations processes & systems, optimize end to end processes, and ensure one way of working to align with strategy.
  • Lead the process of vendor selection and implementation of HCM Cloud solution (Workday, Success Factors, Oracle,..)
  • Lead the end-to-end transition plan for new work into Global Shared Services. Manage the team that partners with HRBPs/COEs for training, shadowing, documentation, resources mapping. Leverage dashboards to help report details, risks of ongoing transition status.
  • You ensure the strategy, the management and continuous improvement of our global core HR operations processes that support the employee life cycle, HR s priorities globally resulting in a one-time right administration, systems, data and therefore an attractive employee experience.
  • Integrate HR digital developments, service, advise & operations into HR operations also to align the Digital Employee journey with the physical employee journey.
  • Build and manage an effective Employee Relations team and supporting platform and administration process; establish grievance tracking process, escalation matrix, and employee guidance
  • Build out the People Data and Analytics capability within the function, enabling the design and implementation of processes that are at the foundation of the HR team’s work.

Strategy & Budget

  • Partner with stakeholders, leadership, and the central HR digital/systems team to build long-term global operations strategy and ensure implementation of it across the relevant functions.
  • Manage the team budget including annual planning, partnering with HRLT colleagues, Finance, and other teams.

Lead Front & Back-office Operational Teams:

  • Lead a team of HR professionals in multiple countries to deliver services to approximately 6000 employees across the globe. Solve issues that are undefined and unique, and require information gathering, analysis and investigation.
  • Front-Office team responsibilities includes responding to all employee HR questions, supporting all HR program launch, delivering on employment letters, providing consultation on maternity, paternity, other types of leaves, accommodations and all other employees facing tasks and activities.
  • Back-office team responsibilities includes managing benefits & severance administration, vendor billing, payroll and benefits reports, records management, and administration.

Data, reporting and dashboards (Focus on being a data driven organization):

  • Create and share reports/metrics/Dashboards that are meaningful to stakeholders.
  • Capture, analyse, report, and advise on the strategic use of workforce data through dashboards and reports

Execution Metrics (Focus on being a data driven organization):

  • Accountable for the day-to-day performance metrics, ensuring clear SLA’s and KPI’s align to effective and positive employee experience. Utilize metrics to demonstrate and communicate Shared Services value.
  • Establish key operational metrics and reporting tools and partner with the Global HR Director and Country HR managers to develop an HR Services dashboards and performance metrics.

Training & documentation:

  • Responsible for ongoing training, and documentation for all processes and activities within the scope of work.

Quality Control:

  • Delivering on an internal quality assurance program leveraging key metrics that helps measure performance against SLA’s, volumes, customer satisfaction & quality.
  • Analyse HR service effectiveness, deliver workforce insights and analytics & structural reporting.

HR systems

  • Own all HR systems, including their seamless integration across multiple systems that support employees across a complex global footprint; establish success criteria and control mechanisms to ensure smooth and user-friendly administration; ensure systems are well-prepared to manage at scale.
  • Vendor management of our partners providing HR services
  • Establish a technology and automation-driven infrastructure in a data-driven environment, in direct partnership with multiple stakeholders across the organization.

Leadership:

  • Responsible for building an inclusive culture within the organization. Leveraging effective recruiting, training, coaching, team building, and succession planning to build an engaged, diverse, high performing team.
  • Engage teams and drive deployment of key processes and programmes. Take the lead in key initiatives, including beyond the teams you are aligned to, and represent HR on relevant senior teams / extended teams.

Stakeholder Engagement and Communications:

  • Build a strong working relationship with HR (including COE and HRBPs) and business leadership. Communicates with others within and outside of the job function and require ability to communicate with and influence executive leadership.
  • Ensure alignment and smooth cooperation with global payroll operations (migration to ADP Global View) and local compliance with legislation.
  • Partner with global / regional HR Operations teams as well as with our Business Technology, Accounting, Payroll and Business Control teams to align systems.
  • Sparring partner for the HR team members; supporting them with your operational expertise of Recruitment, Talent Development, Performance Management, Compensation & Benefits etc.

Qualifications

  • 15 or more years of relevant work experience with a Bachelor’s Degree or at least 12 years of relevant work experience with an Advanced Degree (e.g. Masters/ MBA), of which at least 8 to 10 years’ experience working in within HR Operations / HR Shared Services
  • Proven capability to lead, develop and motivate a multinational team cross-border team.
  • An understanding of operational excellence within HR Shared Services processes & practice
  • Knowledge of HR functional policies and practices
  • Proven ability to standardize/re-engineer HR processes that can help build scale.
  • Collaborative style and a good team player with a strong customer focus mind-set that focusses on employee experience and continuous improvement for all processes.
  • Proven track record of managing the partnerships with COEs.
  • Experience with successfully transitioning work to HR Shared Services
  • Preferred HRIS and Case Management experience
  • Experience developing metrics and setting targets using engaging presentation methods and tools.
  • Able to drive consensus among key stakeholders with diverse needs and interests.
  • Ability to manage a portfolio of projects in a fast-paced environment, adapting to shifting priorities.
  • Strong communicator who can deliver impactful presentations to leadership.
  • Exposure to digital automation tools such as RPA, cognitive, machine learning, AI, etc.
