Payroll & Benefits Manager
Key Responsibilities
Payroll Management
- Oversee end-to-end multi-state payroll processing for exempt and non-exempt employees, ensuring accuracy, timeliness, and compliance with federal, state, and local regulations.
- Maintain and optimize payroll workflows within ADP (Workforce Now or similar), including system updates, integrations, and troubleshooting.
- Manage quarterly and annual payroll activities, including W-2, wage garnishments, tax filings, and year-end reconciliation.
- Conduct regular audits of payroll data to ensure accuracy in earnings, deductions, taxes, and leave balances.
- Partner with Finance on payroll journal entries, reporting, and variance analysis.
Benefits Administration
- Administer all employee benefits programs, including medical, dental, vision, 401(k), FSA/HSA, disability, life insurance, and wellness initiatives.
- Manage open enrollment, vendor relationships, plan renewals, and employee communications.
- Ensure accurate and timely processing of benefit enrollments, changes, and terminations.
- Reconcile monthly benefits invoices and resolve discrepancies.
Compliance & Reporting
- Lead ACA compliance and annual filings, ensuring accurate tracking of eligibility and coverage.
- Prepare and submit required compensation and benefits reporting, including 401(k) nondiscrimination testing, census data, and government filings.
- Maintain up-to-date knowledge of payroll, tax, and benefits regulations across multiple states.
- Develop and implement internal controls, policies, and best practices to strengthen compliance.
Employee Support & Cross-Functional Collaboration
- Serve as the primary point of contact for payroll and benefits inquiries, providing clear and timely guidance to employees.
- Partner with HR, Finance, and external vendors to improve processes, enhance employee experience, and support organizational initiatives.
- Train managers and employees on payroll and benefits tools, policies, and procedures.
Qualifications
- 5+ years of progressive experience in payroll and benefits administration, with strong multi-state payroll expertise.
- Advanced proficiency with ADP payroll systems (Workforce Now strongly preferred).
- Strong understanding of W-2 processing, 401(k) administration, FSA/HSA programs, and ACA compliance.
- Demonstrated experience conducting payroll and benefits audits and preparing compensation-related reports.
- Solid knowledge of federal and state wage and hour laws, tax regulations, and benefits compliance requirements.
- Exceptional attention to detail, analytical skills, and problem-solving abilities.
- Strong communication skills and a customer-service mindset.
- Ability to handle confidential information with discretion and professionalism.
Preferred Skills
- Experience in a high-growth or multi-entity environment.
- Familiarity with HRIS integrations and process automation.
- CPP, CEBS, SHRM-CP, or similar certification (a plus).
