Location: Chicago, IL (5 days in office)
Compensation: Up to $225,000 base salary + bonus
Employment Type: Full-Time, Permanent
About the Role
We are seeking a highly committed and exceptionally organized Executive Assistant to support our CEO in a fast‑paced, high‑growth environment. This is a critical role requiring discretion, responsiveness, and the ability to anticipate needs before they arise. The successful candidate will be a confident communicator, a natural problem-solver, and an operational anchor for the CEO and executive leadership.
This position is fully onsite in our Chicago office, Monday through Friday.
Key Responsibilities
Executive Support
- Manage complex and frequently changing calendars, including scheduling, prioritization, and strategic time management.
- Serve as the primary gatekeeper for the CEO, ensuring efficient flow of communication and protecting executive time.
- Coordinate internal and external meetings, including preparing agendas, capturing action items, and ensuring follow-through.
Logistics & Operations
- Arrange domestic and international travel, including flights, accommodations, itineraries, and expense reporting.
- Prepare, edit, and format presentations, reports, and correspondence on behalf of the CEO.
- Support board meeting preparation, including materials, briefings, and logistics.
Project & Stakeholder Management
- Track ongoing initiatives and ensure deliverables stay on schedule.
- Liaise with senior leadership, clients, partners, and external stakeholders with professionalism and diplomacy.
- Conduct research, compile briefing materials, and provide analytical support as needed.
Office & Administrative Excellence
- Maintain organized systems for documents, contracts, and confidential information.
- Help drive organizational processes that enhance productivity and operational efficiency.
- Represent the CEO and company with discretion, sound judgment, and a high level of professionalism.
Required Qualifications
- 7+ years of Executive Assistant experience supporting C‑suite leaders; CEO support strongly preferred.
- Proven success working in a fast‑paced, high‑pressure environment with shifting priorities.
- Exceptional written and verbal communication skills.
- Expert-level proficiency in Microsoft Office Suite and modern productivity tools.
- High emotional intelligence, strong judgment, and unmatched discretion.
- Ability to operate with urgency, accuracy, and a proactive mindset.
