Our client is a fast-growing global consultancy specialising in investment technology, data and analytics with teams across the UK, North America and APAC. As the organisation scales, our client needs a People Administrator to keep its day-to-day people operations accurate, organised and running smoothly. You’ll join the Global People Team and help deliver a reliable employee experience globally.

About the role

This is a hands-on administrative role covering the full employee lifecycle, from offers and onboarding through to payroll changes, benefits and offboarding. You’ll work closely with employees, managers and teams including IT, Finance and Talent Acquisition, making sure information is accurate, deadlines are met and people receive a helpful, responsive service.

Responsibilities:

  • Prepare contracts, offer documents and employee letters using agreed templates and approval processes.
  • Coordinate right-to-work checks, references, background screening and any country-specific pre-employment requirements.
  • Organise onboarding activity with managers, IT, Finance and other teams, making sure new starters have the information, access and support they need.
  • Maintain accurate employee and associate records in HiBob, including contracts, personal information, job changes, absences and supporting documents.
  • Support the People Advisor with payroll by collecting, checking and submitting approved changes before the relevant cut-off dates.
  • Assist with payroll checks, reconciliations, record-keeping and routine employee queries.
  • Process benefits enrolments, changes and leavers, working with external providers where required.
  • Manage offboarding administration, including leaver documents, system changes and updates for relevant teams.
  • Monitor the HR inbox, answering straightforward questions and passing sensitive or advisory matters to the appropriate People team colleague.
  • Produce regular and ad hoc reports, check data quality and follow up on missing or inconsistent information.
  • Keep templates, trackers, checklists and employee files organised and up to date.
  • Support audits and suggest practical ways to simplify processes and improve employee self-service.
  • Coordinate People Operations activity across the UK, US, Germany, Singapore and Australia, following local requirements and agreed global processes.

About you

We’re looking for someone who is a naturally organised and dependable administrator who enjoys keeping things on track. Accuracy and discretion are important, as you’ll be handling confidential employee information and balancing several deadlines at once. You’ll be someone who is comfortable working with different teams, locations and time zones and keen to kick start your career in HR!

Requirements:

  • Strong administrative skills and close attention to detail.
  • The ability to organise your workload, follow tasks through and meet competing deadlines.
  • Confidence working with systems, data and standardised processes.
  • A discreet and responsible approach to confidential information.
  • Clear, friendly written and verbal communication skills.
  • A helpful, service-focused approach when dealing with employees and managers.
  • Good judgement about when to resolve an issue yourself and when to escalate it.
  • Confidence collaborating with colleagues across different functions and locations.
  • A good working knowledge of Microsoft 365, particularly Outlook, Word and Excel.
  • An interest in building a career in People or HR. Previous experience in an HR, People, payroll or business administration role would be helpful, although it is not essential.
  • Experience using HiBob or another HR information system would also be an advantage. CIPD study, or an equivalent qualification, is welcomed but not required.
