They’re now looking for an organised and proactive Executive Support Assistant to become an integral part of their busy leadership team. Supporting senior stakeholders in a fast-paced environment, you’ll play a key role in keeping priorities on track, ensuring meetings and projects run smoothly, and providing high-quality support across a wide range of day-to-day activities.

About the role

This is a highly visible and varied role suited to someone who enjoys working at pace, managing competing priorities and supporting senior stakeholders. As an Executive Support Assistant, you’ll play a central role in, providing first-class administrative and organisational support at a global and senior level, while helping to coordinate wider projects, initiatives and executive activities across the business.

Responsibilities

  • Manage complex diaries, schedules and appointments for senior stakeholders.
  • Coordinate internal and external meetings, including logistics, room bookings, hospitality and attendee management.
  • Prepare agendas, presentations, briefing packs and supporting documentation.
  • Organise and distribute meeting materials, ensuring stakeholders are fully prepared.
  • Monitor and manage correspondence, helping to prioritise communications and actions.
  • Track actions and follow-ups arising from meetings and leadership discussions.
  • Arrange domestic and international travel, including flights, accommodation, ground transport and itineraries.
  • Coordinate travel documentation and support expense processing.
  • Maintain accurate records, filing systems and administrative processes.
  • Proofread, format and prepare documents to a consistently high standard.
  • Support leadership programmes, executive events and business-wide engagement activities.
  • Assist with the planning, coordination and tracking of projects, ensuring milestones and deadlines are met.
  • Build strong working relationships with stakeholders and support teams across the organisation.
  • Provide flexible support and cover for wider executive office activities when required.

About you

We’re looking for an organised, proactive and highly professional individual who thrives in a fast-moving environment. You will enjoy supporting senior stakeholders, juggling multiple priorities and taking ownership of your workload. This role requires a strong attention to detail, building relationships across the business and handling sensitive information with discretion. You’ll be working with the most senior people in the company on a daily basis so being confident and having excellent communication skills are a must for this role. This role would be perfect for candidates with a few years’ experience who are looking to further their skill set by working in and leaning from an impressive, high performing team.

Requirements

  • Previous experience in an Executive Assistant, Personal Assistant, Team Assistant or similar administrative support role.
  • Exceptional organisational and time management skills.
  • Strong attention to detail and commitment to delivering high-quality work.
  • Excellent written and verbal communication skills.
  • Experience managing multiple priorities and competing deadlines.
  • Strong stakeholder management and relationship-building skills.
  • Ability to handle confidential and sensitive information with professionalism and discretion.
  • Proactive approach with the confidence to take ownership and drive tasks through to completion.
  • Advanced Microsoft Office skills, including Outlook, Word, PowerPoint and Excel.
  • Reliable, accountable and committed to delivering work to a high standard.
  • Able to remain calm and organised under pressure.
  • Flexible and adaptable in a changing environment.
  • Collaborative and approachable, with the ability to work effectively with stakeholders at all levels.
