Role: Head of North America Office Management

Location: New York or Montreal

In Office Schedule: 5 days on site

Compensation Range: up to $130k base plus bonus

Our client, a global investment firm continuing to scale its Americas footprint, is seeking a Head of North America Office Management to lead office operations across its regional locations. This is a high‑impact role responsible for shaping the office experience, managing a distributed team of Office Administrators, and ensuring smooth, consistent operations across three offices.

You’ll join a collaborative global Office Management team and work closely with senior leaders to elevate service standards, streamline processes, and support the firm’s ongoing growth.

As Head of North America Office Management, you will:

  • Oversee office operations for three offices across the US and Canada.
  • Manage a team of five Office Administrators – including hiring, training, coaching, and performance reviews – ensuring consistent service delivery and professional development.
  • Uphold standards across all locations in areas including visitor experience, pantry and supplies, vendor coordination, cleanliness, seating management, and onsite onboarding support.
  • Lead top‑level initiatives such as office moves, regional operational planning, budgeting, and expansion projects.
  • Oversee AMER‑wide culture and engagement initiatives, including annual events, quarterly local gatherings, and holiday gifting programs.
  • Serve as the primary point of contact for building management, external vendors, and service providers across the region.
  • Partner closely with HR, IT, and other corporate teams on cross‑functional processes such as onboarding, policy implementation, and office‑wide improvements.

Note: This role does not include reception or front‑of‑house responsibilities.

You’ll work closely with a warm and collaborative leader, while owning a critical, high‑visibility function across the Americas. This is an opportunity to lead a strong team, drive operational consistency, and shape the office experience during an exciting period of growth for the firm.

Key requirements:

  • 5-8 years of office administration or office management experience within the financial services sector.
  • 2+ years managing a team, with experience mentoring junior or mid‑level staff.
  • Bachelor’s degree strongly preferred.
  • Strong organizational, time‑management, and multi‑tasking skills with the ability to manage multiple projects simultaneously.
  • Proficiency with Microsoft Office (especially Outlook and Excel) and comfort learning new platforms quickly.
  • Experience managing remote teams and coordinating across multiple locations.
  • Willingness to travel as needed for onboarding, events, and office moves.
