Location: New York, NY, Four days onsite (Monday through Thursday)
Duration: 3-months
Compensation: $45 – $47 per hour
A leading global private markets advisory firm is seeking a highly organized and proactive Team Coordinator to support client-facing fundraising and investor engagement activities. This individual will serve as the primary point of coordination for meetings, roadshows, travel logistics, and calendar management for a fast-paced team working with institutional investors and investment management clients.
The ideal candidate is detail-oriented, resourceful, collaborative, and thrives in an environment with competing priorities and changing schedules. This role offers an opportunity to work closely with senior professionals and gain exposure to global investor relations and fundraising activities.
Key Responsibilities
Meeting & Roadshow Coordination
- Coordinate and schedule meetings between clients, institutional investors, and internal stakeholders.
- Organize domestic and international roadshows, ensuring efficient scheduling and optimal use of participants‘ time.
- Maintain scheduling systems and provide regular updates on upcoming roadshow activity.
- Identify and resolve scheduling conflicts while balancing multiple priorities.
Travel & Logistics Management
- Manage all travel arrangements, including flights, hotels, ground transportation, and related logistics.
- Coordinate detailed travel itineraries for both internal team members and client-facing events.
- Proactively anticipate logistical challenges and implement solutions.
Calendar & Administrative Support
- Provide heavy calendar management support for senior team members.
- Schedule meetings, conference calls, client events, and business meals.
- Prioritize competing requests and ensure seamless coordination across multiple stakeholders.
Reporting & Data Management
- Prepare and distribute weekly target and activity reports.
- Gather, organize, and maintain data for reporting purposes.
- Utilize CRM platforms and internal systems to track meeting activity and client engagement.
Team Collaboration
- Partner closely with coverage, advisory, and operational teams across multiple regions.
- Share best practices and contribute to a collaborative, team-oriented environment.
- Provide on-site administrative and coordination support as needed.
Required Experience
- Minimum of 2 years of experience in financial services, investment management, professional services, investor relations, or a related environment.
- Experience coordinating complex schedules, meetings, and travel arrangements.
- Proven ability to manage multiple projects and deadlines simultaneously.
Preferred Experience
- Investor relations or fundraising support experience.
- Experience organizing executive roadshows, client events, or multi-city travel schedules.
- Familiarity with CRM systems and reporting tools.
