Onboarding Specialist (Part-Time FTC)
Our client is AI platform, that are revolutionising their sector. As they scale globally, their employee experience matters more than ever and they’re looking for an Onboarding Specialist for a 3 month FTC to own the operational execution of their onboarding program in London. This is a highly visible role where you’ll be at the centre of their growth, ensuring every new hire joins the team with clarity, confidence, and momentum. This role is part time, 3 days a week.
What you’ll do:
You’ll work closely with the Onboarding Program Manager and partner across People Ops, Recruiting, Payroll, and Legal to deliver a seamless onboarding journey, from pre-arrival logistics to in-person facilitation. This role requires jumping straight into to an already established process but you’ll also need to adapt this to the UK and EMEA team.
Responsibilities include:
- Facilitate in-person onboarding for London-based new hire cohorts – run orientation and make sure every new hire feels welcomed and ready from the start
- Own onboarding logistics end-to-end: manage orientation schedules, calendar invites,
- Process new hires across our systems with accuracy and attention to downstream impact
- Manage new hire communications and answer questions
- Handle pre-employment and compliance processes, including background checks, right to work verification, and required document collection
- Create and maintain onboarding materials – orientation slides, onboarding guides, Notion documentation – keeping content accurate and up to date as the program evolves
- Collect feedback from new hires and surface insights from the field to the Onboarding Program Manager, helping translate what you’re hearing on the ground into improvements to the program
What we’re looking for:
We’re looking for someone who thrives in fast-moving environments, enjoy bringing structure to ambiguity, and cares deeply about creating exceptional experiences. You’ll need to be someone who is a really strong communicator as presenting will be a part of the role and who is comfortable working in fast paced environments – ideally from a start up or scaling background.

- Flexible and highly adaptive – you adjust quickly when priorities shift, stay composed when things change last minute, and can manage multiple competing priorities in a fast-paced environment without dropping the ball
- Comfortable managing multiple open tasks at once in a fast-moving environment where some processes are still being built
- Strong communicator – you know how to keep new hires informed, flag issues proactively, and present information to new hire cohorts
- Confident facilitator – you’re comfortable owning a room, managing large new hire cohorts, and fielding questions on the spot without needing to escalate everything; you take full ownership of the in-person onboarding experience in London
- Curious and observant – you pay attention to how new hires are experiencing the program, ask good questions, and bring what you’re learning back to the team in a way that’s actionable
